call for a meeting today.

[0] I know it's off the agreed-upon schedule, but I think it's important to 
have a meeting soon'ish to start the sponsorship/Herb team work. Please 
comment on the proposed time, it's not to tightly fixed.

Accommodation numbers/upgrades/communal accommodation

We are now (by tomorrow) at the end of the period for applying for 
sponsorship, so the next set of decisions about room utilisation etc. 
should be made soon.

How many people have registered for what room categories currently, and 
how does that compare to the available rooms?  How many sponsored people 
said they would/wouldn't take "communal" accommodation?

We should clarify soon for people already registered what kind of room 
they can expect to receive, and, e.g. give them the chance to pay for a 
better room if they aren't happy with that one.

(That doesn't necessarily mean cheaper "upgrades" beyond the current 
pricing, as some team members suggested, but we should start to clarify 
things beyond the very vague options most people selected so far.)

Traveling information: Train via Germany use "Europa-Spezial Schweiz"

Hi,

I promised to give some detailed information. Do we collect such stuff
somewhere in the Wiki which fits better than this list?

  From *any* railway station in Germany to Yverdon-les-Bains using
  "Europa-Spezial Schweiz" + Bahncard 25:  44.20 per direction.
  You also buy Probebahncard 25[1] for 25.00

  So the whole return trip is: 113.40.

I have also tickets for my bicycle for additional 5.00 per direction.
You need to buy reservation card for the bicycle *very* fast to be sure
that space is available.

Remark:  I have found one connection from my place which only costs
39.00 for one way but it lasts three hours longer and includes changing
trains 10 times.

DebConf13 talks selection team

I'm writing to you all as you were part of the DebConf12 talks
team. We are in the process of assembling the DebConf13 talks
selection team, so as a first step, I'd like to expressly ask you all
whether you are interested in taking part.

I have affirmative answers already from Andreas and Tássia. Tiago was
not part of the past talks selection team, but is interested in
joining (so I'm adding him to the list). In any case, please answer to
this mail. Oh, and as we like having our information spread all over
the place ;-) please also add your names to the relevant Wiki page:

DC12 Travel Bursaries ("Herb Team"): Ping?Discussion?

According to the DC12 Final Report (which we should also prod, as it
still stands as a RC — But that's not the subject of this mail ;-) ),
I'm sending this mail to those that were part of the DC12 Travel
Bursaries (known in intra-DebConf linga as the "Herb Team"). I'm
Cc:ing you all, as well as sending this mail to the debconf-team list.

We have started a discussion on whether we should reform the travel
bursaries' decision into a more open process, as debated+suggested
during DebConf. Some alternatives have been proposed, but to reach a
decision, we need some more opinions. So, please, everybody (and
specially you!) take a look at the thread where we have stated some
ideas, and comment:

Travel sponsorship

It has been pointed out on IRC that for several years we have intended 
to push travel sponsorship processing earlier, and that it is possible 
we can actually do this somewhat for DebConf13.

How much money is currently available that could be assigned to travel 
sponsorship?  (We don't need to have the cash available yet, only to 
believe firmly that it will be available by the time of DebConf.)

I saw some suggestion that the amount of travel sponsorship might be 
relatively restricted.  I think that would be a mistake -- we have a 
venue to which many people can travel cheaply, so we should take 
advantage of that, to subsidise more of them who need it, who would not 
otherwise be able to come.  I think it is *far* more important to have 
many useful people attend than, for example, to add additional DebCamp 
days.  [But some "setup days" for genuine DebConf team people would be 
higher priority than travel sponsorship, in case that part is unclear.]

I have been asked by linux-neuchâtel (LUG): Does this conference is only
for developers ?

After a discussion on IRC, I wrote this draft.

"Although DebConf13 is the annual developers meeting of the Debian
Project and not a users conference, it is open to the public. If you
want to attend a talk on a specific day please register to the
conference with an arrival date equal to departure date."

Do you agree this is an appropriate answer ?

Moray suggested also to put it on the website. Shall we put it on the
about.xhtml page?

this morning.  Hey, if I look at the stars I can see Debian for some
moments!

So do we have any people "close to NASA" or should just anybody try to
approach them to fill a financial gap to enable DebCamp?  I'd volunteer
to dedicate a part of my work there at some workitems specified by them
(if they have such).

Rethinking the way travel sponsorship works

Hi,

After today's meeting, we idled a bit in the IRC channel exchanging
some ideas. Tiago talked on what he perceived to be the main
problematic that other DebConf attendees complained about, and he got
some people to answer, me among them.

So, I'll basically paste the IRC log — excuse me for being lazy. I
know it is not the easiest format to read, understand and answer to,
but it is more natural and will get me to send this mail easier and
with more certainty ;-)

Oh — and I am not convinced of what I'm proposing, although it does
sound somewhat sensible... What I want is to get some discussion going
and to sketch how this year's decision will work. I'm editing a little
bit for format, and to filter out extraneous topics.

After somebody clicks to "save" their details, do they need to click
somewhere else to submit their registration?

Is there meant to be any email confirmation that the registration has
been submitted?

Also, in the sponsorship questions, I notice that the third question
repeats part of the first question:

1. "What are you doing for Debian? Why do you request sponsorship?"

3. "Why do you request help paying for your costs?"

Why do you request sponsorship == Why do you request help paying for
your costs

Maybe it needs to be more specific (e.g. question 1 should emphasize
contributions, while question 3 could emphasize "need", in other words,
financial circumstances, if that is what it is meant to refer to)

As a basis of discussion for tonight's Team meeting [0], I have released the 
DebConf12 Final Report with Henning's work on the "Budgeting" section, giving 
it some formatting love and then tagging it "Release Candidate 2"

I propose a latest -l10n-en review (the budgeting part feels quite en_DE to

Bubullemobile confirmation

Hello dear debconf orga team,

This mail is mostly meant to confirm that:
- I'll attend Debconf13
- I'll come from Paris with my bubullemobile, aka my good old Citroen
  Evasion

The nice thing about it is that it has plenty of space to transport
stuff, both from Paris to Vaumarcus (I will *not* fill it with cheese)
and also over there.

In short, if some video stuff is needed and as most video team stuff
is IIRC stored at IRILL....I confirm that I can bring it with me.

The car is a 7-seater, so that might help in case we have|need to
transport people here or there.

I intend to be at Vaumarcus as early as possible, whether there is a
Debcamp or not.

Depending on the size of the stuff I have to brin in the car, there
might also be some seats left to share with other attendees coming
from Paris...but that will be discussed in -discuss when everybody
sets up their travel plans.

Power supply at Le Camp

Hi list,

Well, in our contract it is written that we must check with Romande
Energie that Le Camp power supply will support our intense use.

As far as I know this hasn't been done yet. Also, it might be an
occasion for us to convert them to sponsorship :)

The only information I have in the contract is the limit of 160 
Ampere.

I'd like to make sure that we have enough energy there before the first
day of the conference.

Unless somebody else want to do it, I will call Romande Energy on Monday 
to check that everything is fine.

Call for papers and talks team for DC13

Hi

Disclaimer: I'm completely unfamiliar with how talks submission and
selection worked in the past. My aim is just to start the process as
soon as possible and to get rid of this as soon as possible ;-). So if
this is the wrong way to do it or if others are already working on this.
Just tell me to not bother anymore.

As we are about to send out the announcment for the DC13 registration,
we should probably also send out a "Call for papers" soon. There is a
draft done by Cate[1].

There is some documentation in the DebConf wiki about the talks
selection process[2].

The team wiki page [3] currently only lists Andreas Tille as a member of
this team. On IRC it was mentioned that also Gunnar worked on that in
the past. I guess we need some more volunteers on that team. Or are
there already others I missed?

I'd prefer if the talks team would draft the call for paper and send it.
Who has time to work on this?

RFC: Opening Registration on Friday ?

apparently most of us agrees that registration should be opened "soon" for 
some days now, but it needs someone to actually do it. This mail intends to 
list what "opening registration" actually means and tries to propose a way 
forward. Please rise your eventual concerns _now_ so that I [0] could take the 
needed steps no later than on Friday 3. May.

[0] It needs to be done, so if one wants the steps to be taken by anyone else,
    I will happily step back and won't stand in the way…

= Announcement mail and blogpost

There's been quite some online and offline debate on whether a verbose and 
long announcement mail would be preferable to a short and concise one. Both 
would in any case point to the registration documentation (see below). 

Both versions are attached. Along with the majority of the crowd present in 
last week's face-to-face meeting, I'm in favour of the short version because I 
think the long one is less likely to be read in entirety, while we want people 
to read to the registra
