there are two sets of board minutes missing:

- 2013-02-20 => Andreas
- 2013-04-03 => Olivier

I know Olivier is busy at the moment, but if both of you could send them
in until the next call in two weeks, that'd be great.

Thanks,

Dear board,

next week, I'd like to attend LinuxTag in Berlin, and therefore would
like to file a request for vacation for four days: from Tuesday, May
21st to Friday, May 24th.

There are two more events in the future I'd like to attend where I also
plan to file a request for vacation, as soon as I know the exact travel
dates.

One is the LibreOffice Conference, where I estimatedly plan to be from
Monday, September 23rd to Friday, September 27th.

The other event is CONSEGI in Brazil, where I estimatedly plan to be
from Monday, August 12th, to Friday, August 16th. Note that August 15th
is a public holiday.

For the latter two events, I will file my concrete request in time when
I have the exact travel dates, but for LinuxTag, if there are no
objections, I'd like to ask Thorsten to file that accordingly with the
payroll provider.

Thank you very much,
Florian

Hello,

TDF is developing rapidly, so are the challenges we have to face, the
decisions we have to make, and the strategy we have to develop. In
addition, we intend to run the board elections this fall, approximately
shortly after LibOCon, to give the new board enough time to learn until
the official duty hand-over in February 2014.

Given that several board members already proposed to meet dedicatedly
for strategy, I would like to propose hosting a

Board Strategy Meeting

this summer. The intend is to have as many board members as possible -
ideally everyone - at the same physical location, dedicatedly talking
about strategy and future planning.

There is a variety of topics on the table, and I think having a real
life meeting is much better than any sort of virtual meeting. Having
this meeting next to the LibreOffice Conference doesn't sound wise to
me, as we all know how busy these days usually are.

Before I send out a Doodle from June to September, I'd like to hear your
availability options

Hello,

sorry for spamming all the lists, but in the light of recent events and
discussions, I'd like to make all of you aware of an important mailing
list, that so far has not been used as extensively as it should be,
which led to some frustration and communication issues.

As part of our mission to foster the project internal communication, I'd
like to tell you about our so called projects mailing list, which Sophie
initiated quite a while ago, and which should be used for communication
amongst the various projects - e.g. design and marketing, development
and marketing, UX and development, and the like.

The list's intention is not to be a gossip list where everything should
be thrown at, but to make all affected projects aware of important
changes. Philosophy: Low traffic, but important topics.

Some examples are: Change of version numbers, a new slogan, design
changes, new products. In other words: Everything that has an impact on
other areas of working than the one where the change originally

Seeking for list moderators

Hello,

at the moment, we are looking for volunteers who could help moderate
this mailing list.

If you are interested, the only requirement is that you are subscribed
to the list yourself and read its mails in a somehow timely manner, but
that's about it.

Moderation means dealing with e-mails that do not automatically make it
to the list, which you then manually forward, or reject. This happens
either when an e-mail comes from an unknown sender, e.g. when a project
member uses a different address for posting. It also occurs when someone
unexperienced writes to the list, thinking it's a private account, but
in fact it's a public list.

You'll receive the message to be moderated via e-mail, which you then
can either "moderate through", or reject.

Is someone interested in joining our efforts? It'd be much appreciated -
just drop me an email (please also copy me directly, and not only the
list), then I'm happy to add you to the list of moderators.

Thanks!
Florian

Hello,

this is a reminder to the mail sent on March 25th. [1]

One of the duties of the board of directors is to write and formally
approve the annual report, which we need to hand in to the foundation
authorities no later than April 30th.

Therefore, I hereby invite all members of the board of directors to a
formal board meeting via phone conference on

Wednesday, April 17th, 1500 UTC

The only agenda item for this formal meeting is the approval of the
annual report.

I urge all board members to reserve this time for joining the call. In
case you cannot attend, please state your deputy 1. publically 2. by
name 3. in time.

Thanks,
Florian

thanks to Joren and Joel, we just found out:

In case you have no landline number in your country, you can try calling

landline numbers from several countries at a fairly good voice quality.

Maybe this helps for future calls.

written report as requirement for budget?

Hello,

given that writing the annual report is a quite tedious task, I am
thinking about having a new rule, that a fully written, timely report
(in English) should be a requirement for future budget spendings. Not
too much text, but a few sentences would be nice.

That would help writing down topics when they occur, plus help those
writing the annual report to have access to full texts rather than
having to reinvent the wheel based on some sticky notes and keywords
taken over the year.

I agree that it is raising the barrier for funds a bit, but then, why
not share the burden than offloading it to a hand full of people? ;-)

From experience I can tell this worked out quite well with the German
FrODeV association, which suffered from similar problems.

I see no reason for making any change here, and unless someone has a
